We do not collect the following types of records, which are kept by appropriate administrative units within the university:
- Student academic records
- Employee personnel records
- Records still actively in use
As we seek to align our holdings with our mission, the archives generally no longer collects in the following areas:
- Local history (except for materials documenting the university’s relations with neighborhood associations, city or state agencies, etc.)
- Rare books (unless they otherwise fall within our collecting scope)
- Books written by faculty members or alumni about topics other than Edgewood (the library will gladly consider these items for possible addition to the general collection)
- Faculty members’ personal research (except as it relates to their Edgewood responsibilities)
- Plaques, awards, and trophies
In addition to subject matter considerations, we also take into account long-term preservation needs and capabilities as well as any overlap with our existing holdings. For these reasons, we do not collect:
- Severely damaged or extremely fragile items
- Materials exhibiting mold or exposure to rodents/pests
- More than three copies of most publications
- Materials with access restrictions or other stipulations deemed by staff to be beyond what we can reasonably accommodate
- Materials whose nature or condition would require care, repair, or storage needs that exceed the archives’ financial and human resources
Anyone contributing items to the archives does so with the understanding that the disposition of materials will be at the discretion of the Library Director.
